AsthronAI may collect account, operational, and visitor interaction data, including:

• Client account details such as name, email address, role, company details, and billing-related information.
• Website visitor conversation content, lead form details, contact information, and qualification responses submitted through the AsthronAI assistant.
• Booking details such as visitor name, email, phone number, timezone, selected appointment slot, and booking notes.
• Technical and operational metadata such as timestamps, website identifiers, usage records, and event logs needed to deliver the service.

2. How We Use Information

We use collected information to operate and improve AsthronAI, including to:

• Respond to website visitors through the AsthronAI assistant.
• Capture, qualify, summarize, and route leads on behalf of the relevant client workspace.
• Schedule bookings, manage team availability, and deliver booking confirmations or reminders.
• Provide client dashboards, usage reporting, billing functionality, support, and security monitoring.
• Maintain service quality, detect abuse, troubleshoot incidents, and improve platform performance.

3. Google Calendar Integration

If a client team member connects Google Calendar, AsthronAI uses the granted Google OAuth permissions only to support booking workflows requested by that client.

• Create or update calendar events for confirmed bookings.
• Read Google Calendar busy-time information to avoid offering conflicting slots.
• Store access and refresh tokens in encrypted form for ongoing sync operations.

AsthronAI does not sell Google user data and does not use Google Calendar data for advertising. Google user data is used only for the booking and scheduling functionality described in this policy.

4. Data Sharing

AsthronAI acts as a platform provider. Information submitted through a client's website is shared with that client's workspace and any client-configured destinations or booking workflows needed to fulfill the requested service. We may also use infrastructure and service providers that process data on our behalf for hosting, email, billing, analytics, and secure operations.

5. Data Retention and Security

We retain data for as long as reasonably necessary to operate the service, comply with legal obligations, resolve disputes, and maintain security and audit records. AsthronAI uses reasonable technical and organizational measures to protect stored information, including access controls, encryption for sensitive integration tokens, and tenant separation within client workspaces.

6. Your Choices

Client owners can update workspace content, disable booking features, disconnect Google Calendar, and manage staff access from within the AsthronAI platform. If you are a visitor who submitted information through a client website, contact the relevant business directly for requests about your submitted data.
